Booking appointments
Book, change and archive appointments, check when a closer is free, and use the Schedule tab's calendar and list.
Every appointment belongs to a lead. You book it on the Appointments tab of the lead's Edit Lead screen, which you can reach three ways:
- From the Map: tap the house, choose CL, LD or CB, then tap Schedule.
- From the Leads tab: tap the lead, then the Appointments tab.
- From the Schedule tab: tap + (or an empty time on the calendar), search on Select Lead and tap the lead.
Book an appointment
- On the Appointments tab, use the appointment that's open, or tap Add Appointment for another one. Each appointment gets its own tab, named by its date.
- Pick a Type: Closing, Follow Up or Lead.
- Pick a Closer, or leave it on No closer. See Closers and setters.
- Set the date, time and length.
- Add an Appointment Note if you like. It's separate from the lead's notes.
- Tap Save at the top right.
The screen stays open and shows ✓ Saved. A new appointment must be at least 22 minutes in the future.
Check when the closer is free
Once you pick a closer, a line under the date tells you whether they're free, such as "… is available at this time" or "… is busy — pick another slot below". It counts the closer's other appointments, their buffer between appointments and, if they've connected it, their Google Calendar.
The Closer Availability calendar below shows a week on a wide screen and one day on a phone:
- The amber block is the appointment you're booking. Tap an open time to move it there, drag it, or drag its bottom edge to change the length.
- Busy (name) blocks are the closer's other appointments.
- Busy blocks are Google Calendar time: the closer's in pink, yours in yellow. SolarKnock sees only that the time is taken, never what the event is.
You may see "Conflict — overlaps with existing appointment or closer busy time" or "You have a calendar event at this time". These are warnings: you can still save.
Change an appointment
Open it from the Schedule tab, or from its lead. Change the type, closer, date, time or note, and tap Save.
An appointment with a lock on its tab belongs to another lead at the same address. Open that lead to edit it.
Who can do this: the appointment's setter and closer, managers and admins.
Cancel an appointment
Open it and tap Archive Appointment, then Archive. It comes off the Schedule straight away, without tapping Save, and off any connected Google Calendar.
Who can do this: the appointment's setter, managers and admins.
The Schedule tab
The Schedule tab (the calendar icon) has two views.
- Calendar: switch between My Schedule and Org Schedule, and between Day, Week and Month. Colors follow the legend: Closing, Follow Up, Survey / Consult. On Org Schedule, appointments you're not on are faded and, unless you're a manager or admin, show only their time and address. If you've connected Google Calendar, your own events show as Busy.
- List: pick a window: Next 30, Next 60, Next 90, All future, Past 30 or All past. The TODAY banner counts today's appointments. Reps see their own appointments; managers and admins see everyone's.
My Schedule shows the appointments you set or close. Closers also see their team's, and managers and admins see everyone's.
Tap any appointment to open it.
Tip: Connect Google Calendar so your appointments appear on it and, if you're a closer, setters can see when you're busy. See Google Calendar.
